Jira time tracking invoice: bill clients from worklogs

Jira records time on issues but we found no invoicing feature in Jira itself, so you bill by exporting the worklogs, multiplying each person's hours by their rate for that date, and grouping the lines by customer. Then import the result into Xero or QuickBooks Online as an invoice CSV.

Steps

  1. Export the worklogs for the period as CSV (see the export guide).
  2. List each person's hourly rate and the date it starts; a raise applies from its start day, not before.
  3. Round each line to hours with two decimals, then multiply by the rate.
  4. Group the lines by customer, one invoice per customer and currency.
  5. Import the CSV into Xero (Sales, Invoices, Import) or QuickBooks Online, and check the drafts.

Limits

Worklogs without a matching rate cannot be priced, so they stay out of the invoice. QuickBooks CSV import allows up to 1,000 lines and 100 invoices per file, and Intuit says it cannot be used when US sales tax is set up in the account; Xero recommends at most 500 lines. Xero users have asked for bulk upload of time entries on Xero Ideas.

Can Jira create invoices from logged time?

We found no invoicing feature in Jira itself. Jira stores time on issues; invoices come from an app, a connector, or an exported file imported into your accounting tool.

How do I bill different hourly rates per person?

Keep a rate table with each person, the rate and the date it starts. Each worklog takes the rate in force on its day. Hourbill does this with dated rates, and the start day itself takes the new rate.

Is my worklog file uploaded when I use Hourbill?

No. Hourbill reads the file in your browser. Only anonymous page counters and, if you pay, the campaign tags of the link you came from reach our server.
