Convert PDF bank statement to CSV for QuickBooks

Try QuickBooks Online's own upload first: it takes a PDF and reads it for you. You only need a CSV if you want to check the lines first, or the PDF upload doesn't work for you. Here are both ways.

1. Upload the PDF to QuickBooks Online directly

  1. Go to All apps, Accounting, Bank transactions.
  2. Select the Link account dropdown, then Upload from file.
  3. Upload the PDF, choose the account and select Continue.
  4. Check the side-by-side view of your statement and what QuickBooks read from it, edit what needs it, and select Save.

Intuit says its AI reads the statement, that the statement must be in English, and that you should review everything for accuracy on that screen.

2. If you need a CSV, use one of the two layouts

Intuit's help describes two layouts. Each file needs one of them.

3 columns. Payments are negative, deposits positive.

DateDescriptionAmount
15/01/2026Card payment, stationery-30.00
16/01/2026Invoice 1042 paid250.00

4 columns. Intuit's own example has the payment under Credit and the deposit under Debit. Follow it, then check one of each on QuickBooks' screen.

DateDescriptionCreditDebit
15/01/2026Card payment, stationery30.00
16/01/2026Invoice 1042 paid250.00

3. The rules that stop an upload failing

4. Upload it

Same place as the PDF: Bank transactions, Link account, Upload from file. Pick the file and account, match the columns, choose the lines and finish.
