Merge multiple invoices into one in QuickBooks Online
One customer, several open invoices, and they want a single invoice. QuickBooks Online cannot combine invoices. We are building a small tool that does it with an audit trail, and this page is its early-access list: nothing is for sale yet.
Can you combine invoices in QuickBooks Online?
Not today. The QuickBooks Team answered this in the community on 7 June 2024: combining multiple invoices into one is not possible in QuickBooks Online, and they invite you to send the idea through Feedback in the Gear menu (QuickBooks Community).
What QuickBooks suggests instead is a customer statement, which lists all of a customer’s open invoices on one page, together with recording invoice payments as usual. Other users merge by hand: they create one new invoice, copy every line from the old ones, and remove or void the old invoices. That is slow, easy to get wrong, and leaves no link between the old and the new invoice.
What the tool will do
- Pick a customer, tick the invoices to merge, and see the merged invoice before anything is written.
- Create one new invoice with all the lines, and close the originals with credit memos instead of deleting them, so the books stay auditable and the totals match to the cent.
- Keep a log of every merge so a merge can be reversed.
- Also on the list: split one invoice between two customers.
This is a plan, not a product yet. We will build it if enough people ask for it, starting with QuickBooks Online.
