Mirror invoices between your QuickBooks Online companies
When Company A invoices Company B and each company has its own QuickBooks Online file, someone types the same invoice into B again as a bill, then matches the payments by hand. We are planning a small tool that creates the matching bill for you and keeps both sides in step. This page is its early-access list: nothing is for sale yet.
Does QuickBooks have intercompany transactions?
In some editions, yes. Intuit documents two intercompany features (both pages checked 5 November 2026):
- QuickBooks Desktop Enterprise: you can issue a bill or a check between separate company files once they are related. Intuit says this is available only in QuickBooks Enterprise Accountant, Diamond or Platinum (Intuit help article, updated 4 August 2026).
- Intuit Enterprise Suite: an intercompany invoice from one entity creates a matching bill in the receiving entity once it is accepted (Intuit help article, updated 5 August 2026). If your companies are on Intuit Enterprise Suite, you probably do not need this tool.
We did not find an Intuit help article that describes an intercompany feature for separate QuickBooks Online companies. In the QuickBooks Community, a moderator answered on 4 August 2026 that Pay Bills only accepts a bank or credit card account as the payment source, so you cannot pick an intercompany account directly, and suggested a clearing account with a journal entry instead (QuickBooks Community, checked 5 November 2026).
How to record an intercompany invoice and bill by hand
- In Company A, create the invoice with Company B as the customer.
- In Company B, create a bill with Company A as the vendor, with the same date, amount and reference, and attach the invoice PDF.
- When B pays A, record the bill payment in B and receive the payment against the invoice in A.
- When a third company pays the bill on B’s behalf, the moderator’s answer above uses a bank-type clearing account, a journal entry to the intercompany account and a Pay Bills payment from the clearing account.
- At month end, check that A’s open invoices to B equal B’s open bills from A.
Ask your accountant how to set up the intercompany accounts for your structure; the QuickBooks Team gave the same advice to a question about two related QuickBooks Online companies on 16 December 2025 (QuickBooks Community, checked 5 November 2026).
What the tool will do
- Connect two QuickBooks Online companies and choose which invoices from A to mirror.
- Create the matching bills in B with your customer, vendor and account mapping, and attach the invoice PDF.
- Show payment status on both sides, and a mismatch report of what does not tie out.
- Read only until you approve each batch.
This is a plan, not a product yet. We will build it if enough people ask for it, starting with one direction: invoices in one QuickBooks Online company become bills in another.
