It creates a new draft copy, then voids the original. A void cannot be undone. The draft keeps the same number and attachments, and both documents have linked history notes.
Preview is free. The 14-day trial processes 3 documents and includes a 25-file attachment sample. You do not need a card to try it.
The standard unapprove run skips them. Reconciled and batch payments are never touched. Review all skipped documents and their reasons before confirming.

Choose approved invoices and bills, preview every result, and create separate draft copies before voiding the originals. The draft copy is created before the original is touched. The original is renamed with a -V suffix, then voided, and eligible draft copies take over the original number. Attachments are copied across, including the "include with online invoice" setting. If the copy cannot be made, the original is left as it was.
Each document gets a note naming the other, the number it used to carry and the order things happened in, so the audit trail reads straight through a year later.
Run a void-only job over a whole batch of approved sales invoices and bills when no copy is needed.
A separate run removes the payments and credit-note allocations from approved or paid invoices and bills, then voids them. Reconciled and batch payments are never touched. Payment access is requested only if you choose this run.
Clear small or bad-debt balances on approved invoices and bills with allocated credit notes. A write-off raises a credit note and allocates it. It is included in both paid plans at no extra cost.
Scan free to see how many files are attached to your invoices, bills and credit notes and how big they are, then download them as dated ZIPs with readable file names and a spreadsheet index. Bank-transaction attachments are included with an extra read-only permission. The files themselves are never stored, and anything Xero will not hand over is listed in an error file. Fair use is 5 GB per organisation per 30 days.
Documents with a payment applied, an allocated credit note, or a date inside a locked period are skipped, and each one is listed with the reason. You type the number of documents to confirm, for example UNAPPROVE 37, and nothing is written until you do. A CSV backup of every selected document is produced before the run, an interrupted run can be resumed, and every step is logged for you to download.
