Can you undo a void in Xero? How to recreate a voided invoice

You voided the wrong invoice, or a batch of them, and now the customer's balance is wrong. This guide covers what Xero says about reversing a void, how to rebuild the invoice from the voided one, and what to check on the copy before anything goes out.

The short answer

No. Xero Central's article Delete or void an invoice says voided invoices can't be restored, and repeats that they can't be reinstated, but that they can still be viewed in search results. What you can do is create a replacement from the voided invoice. The same article points you there: its "What's next" section says to create a new invoice or copy a deleted or voided invoice.

Step 1: find the voided invoice

In the Sales menu choose Invoices and open the All tab. When you search for the invoice, select the Include Deleted & Voided checkbox. Search by the contact's name or the amount if you do not remember the number.

Step 2: copy it to a draft

Xero's article Create an invoice for your customer says that you can copy a single invoice while viewing it: click the menu icon, then select Copy to draft invoice. Copy one invoice at a time. The same article says that when you copy multiple invoices, Xero creates one draft invoice with all the line items from the originals, and that you cannot copy from the list of all invoices.

Then check the draft before you save it:

  • The details. Xero warns that some details might change because of the defaults on your organisation, contacts or inventory items. In the Xero Accounting app, the invoice date and due date change to today's date, and your default due dates override that. Compare every line with the original.
  • The number. Xero Central says that to reuse the number of an approved invoice you need to change it before you void it. After a void, plan on a different number for the replacement, and tell your customer which invoice it replaces.
  • The files. The copy steps do not mention attached files. Open the voided invoice, download what was attached, and add it to the draft.

When it is right, approve it and send it.

Step 3: put the payment back

If the invoice had been paid, it had to lose its payment before it could be voided. Delete an invoice or bill payment says the bank statement line stays in the bank account, so you can reconcile it with another invoice. Once the replacement is approved, reconcile that line against it.

If the customer already has the voided invoice

The void article advises that if you have sent an invoice and need to correct it, you should issue a credit note, so that you and your customer have an audit trail. A void does not change what the customer received. Send the replacement together with a short note saying which number it replaces.

Where doing it by hand stops

Xero Central says you can't void awaiting payment invoices in bulk, and the copy steps above work on one invoice at a time, so a batch that was voided by mistake is rebuilt one invoice at a time. Each rebuild is a search, a copy, a check of the dates, the number and the files, and a reconcile. For a handful that is fine. After a bad import or sync that touched dozens of invoices, the sensible move is to stop and not void anything else until the rest is decided.

For how to create a separate draft copy of an approved invoice, see how to unapprove an invoice in Xero. For the status rules behind deleting and voiding, see can you delete an approved invoice in Xero.

Option: Unapprove, for the next batch

Unapprove is a web application for Xero users that cannot undo a void already done. It is for the next time you need separate draft copies of many approved invoices or bills. You connect an organisation, select the documents and see a preview of every result before anything changes. For each eligible document it creates a separate draft copy with supported attachments before voiding the original. To reuse a sales invoice number, it renames the original with a -V suffix and gives that number to the draft. If the copy cannot be made, the original is left as it was.

  • Checked before it runs. Documents with a payment applied, an allocated credit note or a date inside a locked period are skipped, each listed with the reason. You type the number of documents to confirm, and a CSV backup is made first.
  • Not a restoration. The draft is a new, separate document, and a void still cannot be undone. A file over 10 MB cannot be copied, so that original can be voided but no draft copy is made.

Disclosure. Atesen Software, which publishes this guide, makes Unapprove. The manual steps above work without it.

Which route fits

  • One invoice voided by mistake: copy it to a draft and rebuild it.
  • The customer already holds the voided invoice: send the replacement and a note, or issue a credit note.
  • A batch that needs new draft copies: Unapprove, so each copy exists before the original is voided.
