QuickBooks Online Stripe connection: what the free connector does and where it stops

QuickBooks Online has its own Stripe connector, included with the subscription. For many small businesses it is all you need. This page lists what Intuit says it does and the limits Intuit documents, so you can tell whether you need anything more. The facts below come from Intuit's help article “Connect and manage Stripe transactions in QuickBooks Online” (Intuit help article, last updated 21 September 2026, read on 6 November 2026).

What the connector does

  • Imports sales, refunds, payouts, adjustments and other transactions from Stripe. A sale arrives as a “Payment received” with the gross amount, the net amount and the fee.
  • Books fees to a Stripe Fees expense account.
  • Records each payout as a bank deposit linked to the sales and fees inside it. You choose a Stripe Deposit Account during setup, and you can match the payout to the real deposit when that bank account is connected to QuickBooks Online.
  • Lists extras inside a payout: app fee revenue, holds and disputes, adjustments and Stripe Capital payments.
  • Goes through For Review. Completed transactions usually show up in the For Review tab within about two hours. A transaction with everything pre-filled can be added with one action. Others need your input first, and Payment received transactions must be confirmed before the payouts that contain them.

Limits Intuit documents

  • One Stripe integration. Intuit says the integration does not support multiple Stripe integrations at once.
  • History. You can import up to two years of past transactions.
  • No update on demand. You cannot trigger an update yourself.
  • Product matching. Products and services carry over as line items only if the names match in Stripe and QuickBooks. Unmatched products go to a default “Stripe Sales” item.
  • Bulk confirmation. It is blocked for transactions that still need review.
  • Countries and currencies. The article does not say which are supported. Check with Intuit if you sell in several currencies.

Other vendors write about further problems, for example Stripe invoices arriving as generic transaction activity, no bulk delete, and ACH payments failing to import in early 2026 (Acodei blog, 23 August 2026). Acodei sells a competing product and Intuit does not document those points, so test them on your own account before you rely on them.

When the free connector is enough

  • You have one Stripe account for one QuickBooks company.
  • You sell in your home currency and your product names are the same in both systems.
  • Your payouts match your bank deposits after you confirm the For Review items.

If that is you, use the connector and stop here.

When you may need more

  • You run two or more Stripe accounts into one QuickBooks company.
  • A payout still does not tie to the bank after you confirm everything, because of a refund, a dispute hold or a fee booked on another date.
  • You need to correct many transactions at once.

You can reconcile by hand with a clearing account. The method many accountants use:

  1. Create a bank-type account called “Stripe clearing”.
  2. Book each day's gross sales into Stripe clearing, the Stripe fees as an expense out of Stripe clearing, and refunds out of Stripe clearing.
  3. When a payout arrives, transfer the payout amount from Stripe clearing to the bank account.
  4. Stripe clearing should end each period at zero. Anything left is a sale, fee, refund or dispute that is in one list and not the other. Stripe's payout reconciliation report shows what is inside each payout.

Ask your accountant to set the accounts up for your structure.

If you want that matching done for you

We are planning a small tool that lists each payout with the charges, fees and refunds inside it, posts them to the accounts you choose and shows what does not tie out. It does not exist yet; this is a demand test. Join the early-access list to tell us it is worth building. Joining costs nothing.
