Seat Saver documentation

Documentation for Seat Saver. It describes the application as it exists today and will be extended as the application changes.

Requirements

  • A Freshdesk account on a plan that includes Marketplace applications.
  • For installation: the API key of an administrator (Account Administrator or Administrator role).
  • To open the application: an administrator role. For live changes: your own API key (Profile settings, View API key).

Installation

The installation page asks for your Freshdesk subdomain (acme for acme.freshdesk.com) and an administrator's API key. Verify checks that the key belongs to someone with an administrator role. The key is stored as a Freshworks secure installation parameter: the platform attaches it to outbound request headers and it is never exposed to the browser.

Dry run is on after installation. Enter your seat price and inactivity threshold under Settings before the first run.

Using it

  • Open Seat Saver from the left navigation. The overview shows unused full-time seats, seats that never signed in and the possible saving at your price. The table lists unused seats; switch the view to Everyone to see all agents.
  • Select seats, choose Convert to occasional or Deactivate. For Deactivate, choose the group or agent that receives open tickets.
  • Preview: for each seat, open tickets, tickets updated within the threshold period and automation rules that name the agent. Nothing is changed.
  • In dry run, Run dry run shows what would happen. For live changes, untick Dry run in Settings, preview again, type the phrase shown (for example APPLY 3), paste your own API key and click Verify key, then Apply changes.
  • History lists the last 30 runs. Undo this run asks for the phrase UNDO and the number of seats.
  • Export CSV downloads the seat table; Download results downloads the result of a run.

Protection rules

  • Never changed: account administrators, the person using the application and the owner of the installation API key. These are checked again on the server before every change.
  • Protected by default (Settings): everyone with an administrator role, and the people on your list of protected email addresses.
  • Not changed: people who signed in or were active during the last 7 days. Freshdesk's agent list has no roles, so the application reads roles one by one only for people not seen in that period.
  • At most 100 seats per run. A seat with more than 300 open tickets must be reassigned in Freshdesk first. A kill switch in Settings stops every change, also one that is running.

Limits you should know

  • The application makes at most 40 requests per minute, and they count against your account's API limit. Accounts with many unused seats take a minute or two to load because each of those agents is read once.
  • Unused means no sign-in and no recorded activity for the number of days you choose (7 to 365). People added recently are left alone until that period has passed.
  • The weekly digest reads at most 15 agents in detail per run; seats beyond that are listed but counted as protected.
