Product Catalog PDF documentation

Documentation for Product Catalog PDF, an extension for Zoho Inventory and Zoho Books users. It describes the extension as it exists today and will be extended as the extension changes.

Requirements

  • Zoho Inventory on the Premium plan or above (Zoho makes widgets available only on those plans), or Zoho Books.
  • An organisation in one of the supported data centres: US, EU, IN, AU, JP, CA or SA, and for Zoho Books also AE. The China data centre is not supported.
  • A user who can see the items, price lists and locations in Zoho. The extension reads with that user's permissions and never writes.

Installation

Install Product Catalog PDF from Zoho Marketplace into Zoho Inventory or Zoho Books and authorise its read-only connection when Zoho asks. In Zoho Books the connection also asks to read item categories; without it the category filter is hidden.

Open the Product Catalog PDF tab.

Creating a catalogue

  • 1. Items: choose the status, categories, item groups, brands, stock and location, or search by name, SKU or brand. Untick items you want to leave out.
  • 2. Layout: choose a template, paper, orientation, grouping and sort order, and the fields to show (images, price, SKU, unit, description, stock, up to three custom fields).
  • 3. Prices: the sales rate of each item or one of your sales price lists, and whether items missing from the list show their sales rate or are left out.
  • 4. Cover and footer: title, subtitle, contact details, a logo (PNG or JPEG, up to 750 KB) and footer text.
  • 5. Preview shows the number of products, pages, files and API calls before anything is fetched. Create PDF builds the file in your browser and downloads it; Save again downloads it once more.

Templates

  • Save keeps the current settings under a name in your browser. Load, Delete, Export file and Import file manage them.
  • Templates and the logo stay in this browser only. If your browser does not let the extension keep data, the tab tells you and they last until you close it.

Limits you should know

  • Each item image uses one Zoho API call; stock by location and custom fields need about one call per 25 items. The extension makes at most 60 calls a minute (Zoho allows 100 per organisation) and the preview shows the estimate.
  • Images that cannot be read completely, or are larger than 8 MB, are shown as No image and counted in the result.
  • Volume price lists show the lowest price as "from …". If Zoho returns no item prices for a price list, the tab says so.
