How to download all attachments and receipts from QuickBooks Online

An auditor, a tax preparer or your own year-end file needs the receipts and documents behind a year of transactions. This guide covers QuickBooks Online's own ways to get attachments out, where they stop when the request is for a specific set, and a web app that exports them by transaction, each file named after its transaction.

The short answer

QuickBooks Online can export attachments in bulk: in the Attachments list you tick the files and choose Batch actions > Export, and a ZIP downloads. That works when you know which files you want. When the request is "every bill and expense receipt for last year, by vendor", Intuit's articles do not describe a way to pick the files by their transactions.

Option 1: one file at a time

Intuit's article Export your receipts gives two routes for a single file:

  • Go to Settings and, under Lists, select Attachments. Find the file and select Download in the Action column. It opens in a new browser window; right-click and choose Save As.
  • Or open the transaction itself, for example an expense, and under Attachments select the file name.

Option 2: the Attachments list in bulk

  1. Go to Settings and, under Lists, select Attachments.
  2. Select the checkboxes for the files you want.
  3. Select the Batch actions dropdown, then Export.
  4. A ZIP file downloads with the files you selected.

The same steps appear in Export your QuickBooks Online data, where attachments are a separate step from Export data, the tool that saves reports and lists as Excel files. Intuit's Add or delete attachments article lists the transactions that take attachments, from bills, checks and expenses to estimates, credit memos and vendor credits, and adds that files can also sit in the Attachments list without being linked to anything.

Where these stop

  • The articles describe choosing files by checkbox. They do not describe filtering the Attachments list by transaction date, vendor, account or amount.
  • They do not describe naming the exported files after their transactions, or a list of which transaction each file belongs to.
  • A list of attachments cannot show which transactions have none, so finding the missing receipts is a separate job.

Option 3: Attachment Bundler

Attachment Bundler is a web app made by Atesen Software for bookkeepers and accountants on QuickBooks Online. You sign in with Intuit, filter transactions, see what matches, and only then download.

  • Filter first. Transaction date range, transaction type (bills, expenses, invoices, sales receipts and journal entries), vendor, customer or payee name, one or more accounts, and a minimum and maximum amount. Attachments not linked to any transaction can be exported by upload date.
  • Counts before downloading. For each transaction type the preview shows how many transactions match, how many have attachments, how many files and megabytes that is, and how many matching transactions have no attachment.
  • Named and sorted. Every file is named after its transaction, by default date, name, amount and number, such as 2025-03-14_Acme Supplies_1250.00_B-1043.pdf, or from your own template. Folders can be by type and month, by type, by vendor or customer, by month, or none.
  • An index your auditor can follow. A CSV and an Excel index list every file with its path, its transaction and its status, and also the matching transactions that have no attachment.
  • Large companies. Thousands of files are split into ZIP parts, each with its own index, and a part can be downloaded again.

Good to know. It only reads from QuickBooks Online and never changes your books. Intuit offers no read-only QuickBooks Online permission, so sign-in asks for its single accounting permission; the app sends read requests only. Files stream to your browser and are never stored, and export details are deleted after 72 hours. Vendor credits, bill payments, deposits, estimates and purchase orders are not included, and QuickBooks Desktop is not supported. It is not listed in Intuit's app store and has not been certified by Intuit. It is not a backup service.

Price. Previews and counts are free and unlimited, and the first 25 files per company are free with the full index. Monthly is $19 a month; the Year-end Pass is $29 once for 30 days with no renewal. Both cover up to 10 companies, with checkout by Paddle on Attachment Bundler's own site.

Which route fits

  • A few files: download them from the transaction or the Attachments list.
  • A set you can pick by hand: tick them in the Attachments list and use Batch actions > Export.
  • A filtered set for an audit or year end, named after the transactions, with a list of missing receipts: a filtered export such as Attachment Bundler.
  • Estimates, vendor credits and other types Attachment Bundler does not cover: the Attachments list.
