How to download the resumes of one Workable job or pipeline stage

You do not need every resume in the account. You need the ones for a single job, or only the candidates sitting in one stage, say the shortlist for a hiring manager's review. This guide covers what Workable documents for that, where each route stops, and an extension that saves a job's resumes by stage into one ZIP.

The short answer

Workable's help center says it doesn't support bulk downloading of resumes (Is there a way to download resumes in bulk). Its full data export covers the whole account and can't be filtered by specific data or timeframes, although its resumes sit in folders named by job ID. For one job or one stage, you choose between downloading by hand, the API, or a tool built on the API.

Route 1: list the stage, then download by hand

  1. Open Reports and use the Candidate details report (Using the Candidate details report). Its filters include the stage a candidate is in the job pipeline, and the report can be exported with Download CSV, which is emailed to you. The article does not list a separate filter for the job, and it states that files and resumes are not in the export. Use the CSV as your checklist.
  2. For each candidate, open the profile and select the resume. According to How do I download or print a candidate's profile or resume, it opens in a PDF viewer, where an icon in the upper-right corner downloads or prints it.
  3. Rename each file yourself so you can tell them apart, for example with the stage and the candidate's name.

That article also describes More actions then Print profile, which lets you choose what to include (Profile details, Resume, Communication, Evaluations and Comments) and save it as a PDF. That gives a profile PDF, and the article does not say whether a resume downloads as the original file or a converted copy.

Route 2: the API

Workable's API reference documents a list of candidates that you can narrow by a stage slug, which you get from its stages endpoint (Job candidates index), at a default of 50 per page and a maximum of 100. The list response carries only resume metadata (file name, file type and dates), not a link to the file, so you make one more call per candidate to fetch the resume itself. A token that reads candidates is created by an Admin under Settings > Integrations > Apps. The full walk-through, including the rate limit of 10 requests in 10 seconds, is in how to download resumes from Workable with the API.

Where these stop

  • By hand, the time grows with every candidate, and the file names come out of Workable, not out of your naming scheme.
  • With the API you write, test and maintain the script: paging, pacing, retries, file names and a log of what failed.
  • Neither route gives you a single index that says which file belongs to which candidate and stage.

Option: Bulk Resume Downloader for Workable

Bulk Resume Downloader for Workable is a browser extension for Chrome, Edge and other Chromium-based browsers. It uses the Workable API token an Admin creates, so it works through the same API as Route 2 without code. You choose a job and the stages to include, and every resume goes into one ZIP with the extension Workable's own file name gives: PDF, Word or anything else the candidate sent.

  • Names you can sort. Stage_LastName_FirstName by default, or LastName_FirstName, FirstName LastName, or a folder per stage. The preview shows each name before anything downloads, and clashing names get a number.
  • An index. index.csv has one row per candidate: the file, whether it was saved and why not, name, email, phone, stage, disqualified, applied date, headline, candidate ID and the Workable profile link. Delete the columns your reader should not see before you share it.
  • Limits. It downloads resumes and, if you ask, cover letters, not other attachments. It is paced to Workable's limit, about a minute for every 55 candidates, and you can pause, resume or stop. Browsers other than Chromium-based ones are not supported today.

Disclosure. Atesen Software, which publishes this guide, makes this extension. The manual and API routes above work without it. For the shortest version of the same task, see how to download all resumes from Workable at once.

Price. The free plan saves the first 10 resumes of each export, with no account and no key. Unlimited is $19 a month or $190 a year, sold on the extension's own site with checkout by Paddle. The extension is listed in the Chrome Web Store, is new there and has no review history yet.
