How to export Workable candidates and CVs for a client or hiring manager

The short answer

Workable can share a candidate's profile through a link, export candidate details to a CSV file, and print or download one profile at a time. Its help centre says it does not support bulk downloading for resumes, so a folder of CVs that matches your list takes one download per candidate, an API script, or a tool.

Option 1: share profiles with a link

Workable's article Sharing candidate profiles outside of Workable lists sharing candidate details with a client as a use.

1. Open the candidate's profile and click the More actions menu in the toolbar.
2. Select Share Candidate and choose what the person with the link may see. Keep Can comment ticked if their comments should come back to the profile.
3. Preview the link, then copy it or send it by email through Workable.

Anyone who has the link can view it, and access expires automatically after 15 days. Workable warns against putting the link in an email or invite that includes the candidate, who would then see internal feedback and comments. A link is good for a review round, but it leaves the client with nothing to keep.

Option 2: the candidate list as a CSV

The Candidate details report is available on all plans with the Recruiting package, including the Free plan.

1. Open the Reports page from the navigation bar and choose the Candidate details report.
2. Use the drop-down filters and the timeframe to narrow it down.
3. Under Columns, tick the fields the client should get, such as the candidate's job stage, and drag them into order.
4. Click Download CSV. The file arrives by email a few moments later.

Workable says resumes and other files are not included in this export. Report data is also limited to the jobs and candidates each user has access to, so run it from an account that can see the whole job.

Option 3: profiles and CVs one at a time

Following How do I download or print a candidate's profile/resume?, open the profile and choose More actions > Print profile. You pick from Profile details, Resume, Communication, Evaluations and Comments, and the print window can save a PDF instead of printing. The resume alone opens in a PDF viewer in Workable, with download and print icons at its upper right.

Leave out evaluations and comments unless the client should read your team's internal view.

Where these stop

• A shared link expires after 15 days and lives inside Workable.
• The CSV has no CVs, and nothing ties a downloaded file to its row in the CSV, so you rename and match the files yourself.
• One profile at a time is fine for five finalists and slow for a pipeline of fifty.

Option 4: Bulk Resume Downloader for Workable

Bulk Resume Downloader for Workable is a browser extension for Chrome, Edge and other Chromium-based browsers. With a Workable API token that an account admin creates, it lists a job's candidates, shows the file name each resume will get, and saves them all into one ZIP with an index.csv.

• Only the stages you present. You choose the job and the stages to include, so a client package can hold just the shortlist and not everyone who applied.
• Names a reviewer can follow. Stage_LastName_FirstName.pdf by default, or LastName_FirstName, FirstName LastName, or a folder per stage. You see every name before anything is downloaded, and each resume keeps the format the candidate sent.
• The list and the files together. index.csv has one row per candidate: the file, whether it was saved and why not, name, email, phone, stage, disqualified, applied date, headline, candidate ID and the Workable profile link.
• Cover letters if you ask. Other files attached to a candidate are not downloaded. It keeps to Workable's limit of 10 requests in 10 seconds, about a minute for every 55 candidates.
• Nothing leaves your browser. Candidate data goes from your Workable account to the ZIP on your computer. Atesen Software never receives it.

Before you send it. The index holds contact details. Delete the columns the client should not have, and remember that the ZIP holds applicants' personal data, so sending it falls under your organisation's own data protection obligations and your agreement with the client.

Price. The free plan saves the first 10 resumes of each export, with no account and no key. Unlimited is $19 a month or $190 a year, sold on the extension's own site with checkout by Paddle. The extension is listed in the Chrome Web Store, is new there and has no review history yet.
