How to split a payroll PDF into one file per employee, free
Your payroll software hands you the month's payslips as one long PDF: forty people, sixty pages, a summary page somewhere in the middle. Each employee should get only their own payslip, in a file named so you can find it again. This guide covers what common PDF tools offer, where they stop for payroll, and a free browser tool that splits by the employee number printed on each page.
The short answer
PDF editors split by page count, file size or bookmarks, or extract the pages you select. None of those looks at whose payslip a page is. If every payslip is exactly one page and in a known order, that is enough. If some run to two pages, or a summary page sits between them, you check and rename every file yourself, or use a tool that reads the employee number.
If you employ people in the UK, GOV.UK's page on payslips says employers can choose to provide printed or electronic payslips, and that payslips must be provided on or before payday.
Option 1: Adobe Acrobat
Adobe's help page Split PDFs describes the desktop app:
- Open the PDF and select All tools > Organize pages.
- In the left pane, select Split.
- Under Split by, choose Number of pages, File Size or Top level bookmarks.
- Under Output options, set the destination folder and the naming convention for the new PDFs, then select Split.
For one person's pages, Extract pages from PDFs works the other way round: in Organize pages, enter the pages in the PAGES SELECTED field, select Extract pages, and save the new PDF. With Extract pages as separate files ticked, each extracted page becomes its own PDF.
Option 2: Preview on a Mac
Apple's guide Add, delete, or move PDF pages in Preview says you can create a new PDF by dragging thumbnails from a PDF's sidebar to the desktop. Choose View > Thumbnails, select one person's pages, drag them out, and rename the new file. It is free and quick for a small team; for forty people it is forty drags and forty renames.
Where these stop
- Splitting by page count assumes every payslip has the same length. One two-page payslip shifts every file after it to the wrong person.
- Bookmarks only help if your payroll software writes one per employee.
- Summary pages, cover sheets and scanned pages end up in someone's file unless you spot them.
- Nothing checks that a file holds the person its name says. Sending one person's pay to another is the mistake you most want to avoid.
Option 3: Payslip Drop, free in your browser
Payslip Drop is a web app made by Atesen Software for HR and payroll staff. It reads the employee number printed on every page, groups the pages into one document per person and names each file the way you choose. Splitting happens inside the browser tab: the PDF is not uploaded anywhere to be split, and the ZIP download is free without an account.
How to use it
- Open the app and drop the payroll PDF on Drop the payroll PDF here, or choose files. To look first, use Try it with a sample payroll, which is made of made-up people.
- Under Labels printed before the number, enter the label your payslips print, such as
Employee ID:, or switch to a regular expression. An employee list as a CSV is optional. - Set the file name from placeholders, for example
{employeeNumber}_{lastName}_{period}.pdf, and click Find employees. - Review the list. Only an exact employee number is assigned automatically; matches by name, numbers printed with extra zeros, summary pages and pages without a text layer wait under Needs attention, where you can preview, approve, join a page with the previous one or leave it out.
- Continue and click Download ZIP. Ready payslips sit at the top level of the ZIP, anything unresolved goes into
_needs-reviewand_unmatchedfolders, andmanifest.csvlists employee, pages and file name.
The label, file name pattern and folder are saved as a profile per payroll type, so next month's run starts from the same settings.
Good to know. Scanned pages without a text layer are flagged, not read: text recognition (OCR) is not included. Payslip Drop does not calculate payroll or check the numbers on a payslip; it only splits, names and delivers the PDF you give it. It is not listed in any HR software marketplace.
Price. Splitting and the ZIP download are free, with no limit. Paid plans upload each file to the right employee in a supported HR system, with a dry run, files hidden until you share them and an undo: $29, $49 or $79 a month per company, with a 14-day trial for up to 25 employees and checkout by Paddle.
Which route fits
- A few one-page payslips: Preview or Acrobat's Extract pages, then rename each file.
- Every payslip exactly the same length, in order: Acrobat's split by number of pages, then check the first and last files.
- Mixed lengths, summary pages, or a team too big to rename by hand: a tool that matches by employee number and shows what it could not match, such as Payslip Drop.
