QuickBooks Online report columns cut off when printing or exporting: what you can do

A Profit and Loss by month, a General Ledger or a Transaction Detail by Account has more columns than a page, and long account names and memos are shortened. You need the report on paper, as a PDF for a client, or in a spreadsheet, with nothing cut off. This guide covers what Intuit documents for exporting, what the browser's print dialog can do, and where a Chrome extension helps.

The short answer

Fit the report before you print it: fewer columns, such as quarters instead of months, or a spreadsheet. Intuit's help articles we checked describe customizing reports and exporting them to Excel, and a size limit for PDF. They do not describe a setting for column width.

1. Fewer columns

Go to Reports > Standard reports and open the report. Select Customize to filter by accounts or customers, change the accounting method, adjust the number format, choose which rows and columns show, and update the header or footer. Save it with Save customization or Save as so the narrower version is there next month (Customize reports).

Every column you drop gives the others room. A year with columns by quarter instead of by month has four amount columns instead of twelve.

2. Export to Excel instead of printing

Open the report, select the Export/Print dropdown and choose Export to Excel. If data seems to be missing when the file opens, Excel is in Protected View and you need to select Enable Editing (Export reports to Excel). In Excel you decide column widths, wrapping and page layout yourself before you print or share the file.

3. PDF exports that stop halfway

Intuit's article Can't export a report to PDF lists the symptoms when you email or export a report as a PDF: an error message, a 404 page, a report that does not show up completely, or a page stuck loading. The cause it gives is the 50,000 cell limit for exporting to PDF. Its workaround is to save the report as a custom report, open it from Custom reports, and export it to Excel.

4. Printing from the browser

Any page can go through Chrome's print dialog: press Ctrl and P on Windows and Linux, or the Command key and P on a Mac, choose the destination, which can be Save as PDF, and change the print settings the dialog offers (Print from Chrome). Those settings are about the paper, not the report's columns, so look through the preview for cut-off names and columns before you print a long report.

Where these stop

  • Customize changes what is in the report, not how it fits.
  • Export to Excel is the cleanest route for a printed or shared copy, but it is a file round trip every time.
  • A PDF of a large report can hit the 50,000 cell limit.
  • The browser's print settings change the page, not the report's columns.

Option: Report Fixer

Report Fixer is a browser extension for Chrome, Edge and other Chromium-based browsers. It changes how QuickBooks Online reports are shown: the report uses the full width of the window, headings and the first column stay in view, and long names wrap instead of being cut off. It works on the screen and on getting data out, not on QuickBooks Online's own print or PDF output.

  • Full text on screen. Names and memos cut off with an ellipsis wrap onto a second line instead. Rows can be Normal, Compact or Tight, and focus mode (Alt+Shift+F) lets the report fill the window.
  • Copy for Excel (Pro). Alt+Shift+C puts the whole report on the clipboard as a table that Excel and Google Sheets paste with real numbers, indents and bold totals.
  • CSV and Excel workbook (Pro). Pro saves the report as CSV and downloads it as an Excel workbook (.xlsx) with amounts as numbers, bold totals, frozen headings and account names, and rows grouped by the report's sections.

Good to know. It changes no data in QuickBooks Online, and reports are read in your browser and never sent to Atesen Software; only a license key you enter is checked with the license server. It works with QuickBooks Online in the browser, not with the QuickBooks desktop products, and a change to QuickBooks Online can break a feature until the extension is updated.

Plans. Report Fixer is listed in the Chrome Web Store. Version 0.3 brings the free plan, which applies every layout fix to 3 different reports a day, and Pro, at $9 a month or $79 a year per person, which fixes every report and adds copy for Excel, CSV and the Excel workbook. Everyone who installed it before version 0.3 keeps every feature it had then, free. Pro is on sale on the Report Fixer site, with checkout by Paddle.

Which route fits

  • A printed report that fits: fewer columns through Customize, saved as a custom report.
  • A copy to share or file: Export to Excel, then lay out the page in Excel.
  • Reading wide reports on screen, or copying them into a workbook often: an extension such as Report Fixer.

For wide reports on screen, see QuickBooks Online report too narrow: how to make it readable and export it to Excel.
