How to export all your data and resumes from Workable before you cancel

You are moving to another applicant tracking system, or closing the account, and you want the candidates, the notes and every resume. This guide covers what Workable says you can get, who can ask for it, what each route leaves out, and one way to save a job's resumes yourself while you wait.

The short answer

Workable's help article Is there a way to download resumes in bulk says Workable doesn't support bulk downloading of resumes, and that for leaving Workable it offers a full data export, which only an account Admin can request and which can't be filtered by specific data or timeframes. The same article says Workable performs daily backups and will provide your data if you leave.

Route 1: the full data export

The article How do I export candidate data describes it for anyone migrating to another system who needs a full export of all account data. You ask through the Contact us link in that article; it does not say how long the export takes or which plans include it.

  • What you get. A .zip file with a CSV for each area: Candidates, Comments, Events, Jobs, Members, Ratings, and several template and message categories. The candidate CSV starts with the fields id, download (the resume file name), name, email, headline, type, phone, address, summary and disqualified_at.
  • Where the resumes are. They are broken out into job folders, and the folder titles are the job IDs. Each candidate has a separate sub-folder in the job folder with all their files. Signed offers can be included, and a Read Me file in the export explains more.
  • When to ask. Workable says the best time to request a full export is when all your jobs are archived, and that draft jobs are included too.

Because the folders carry job IDs and not titles, open the Jobs CSV first and write down which ID is which job. The article offers a sample file, Full Export sample.zip, so you can look at the structure before you commit to a plan.

Route 2: the Candidate details report

According to Using the Candidate details report, you open Reports in the navigation bar, filter and choose columns, and click Download CSV; the file is emailed to you within a few moments. It is available on all plans with the Recruiting package, including the Free plan. It is a spreadsheet of candidates only: files and resumes are not included in the export.

Route 3: one candidate at a time

Workable's article How do I download or print a candidate's profile or resume says to open the profile, select the resume, which opens in a PDF viewer, and use the icon in the upper-right corner of the viewer to download or print it. Choosing More actions then Print profile lets you pick sections (Profile details, Resume, Communication, Evaluations, Comments) and save the result as a PDF. This is fine for a short list and impractical for hundreds.

Where these stop

  • The full export is whole-account, and it arrives when Workable sends it, not when you need it.
  • The CSV report has no files.
  • One at a time does not scale, and the articles do not say whether a download is the original file or a converted copy.

For a developer, the API is another route: how to download resumes from Workable with the API.

Option: Bulk Resume Downloader for Workable

While the export is on its way, you can save the resumes of a job yourself. Bulk Resume Downloader for Workable is a browser extension for Chrome, Edge and other Chromium-based browsers. With an API token that your Workable account Admin creates, it lists a job's candidates, shows the file name each resume will get, and saves them all into one ZIP with an index.csv. For the plain version, see how to download all resumes from Workable at once.

  • Resumes, not the whole account. It downloads resumes and, if you ask, cover letters. Comments, ratings, messages and other files stay in the full export, so keep Route 1 for those.
  • Per job. You choose a job and its stages, and see every name before anything downloads. The index has one row per candidate, including whether the file was saved and why not.
  • Paced for Workable. It keeps to the limit of 10 requests in 10 seconds, about a minute for every 55 candidates, and you can pause, resume or stop. Candidate data goes from Workable to the ZIP on your computer; Atesen Software never receives it.

Disclosure. Atesen Software, which publishes this guide, makes this extension. The routes above work without it.

Price. The free plan saves the first 10 resumes of each export, with no account and no key. Unlimited is $19 a month or $190 a year, sold on the extension's own site with checkout by Paddle. The extension is listed in the Chrome Web Store, is new there and has no review history yet.

Which route fits

  • Everything, including comments and ratings: the full export, requested by an Admin.
  • A spreadsheet of candidates: the Candidate details CSV.
  • A job's resumes now, named and indexed: the extension, while the export is on its way.
