How to save a Gmail thread as one PDF without the quoted replies

You need a long Gmail conversation as one file: for a client, a dispute, an audit or your own records. You press Print all, save as PDF, and get dozens or hundreds of pages, because every reply carries the whole conversation below it again. This guide covers what Gmail offers itself, where it stops, and a browser extension that keeps each message once.

The short answer

Gmail can print one message or the whole conversation, and Chrome's print window can save that as a PDF. Gmail has no setting that leaves the quoted text out. In a Gmail Community thread asking exactly this, how to print a long conversation without the quoted text at every message, the answer is that there is no way in Gmail to remove it. To get a clean file you either edit it by hand or use a tool that removes the repeats for you.

What Gmail offers

  • Print one email. Open the email, click More at its top right, then Print (Print Gmail messages). In Chrome's print window, choose Save as PDF as the destination.
  • Print the whole conversation. Open the conversation and click Print all at the top right. Every message is printed, oldest first, one after the other.
  • Download one message. Each message's More menu also offers Download message, which saves the original as an .eml file for a mail program, one message at a time.
  • Forward it. Forwarding the last message sends the history below it, quotes included, to someone else's inbox.

Where these stop

  • Each reply quotes the messages before it, so the fifth message carries four earlier ones, the tenth carries nine, and the whole conversation is printed again and again. A 60-message thread can run to hundreds of pages, most of it repeated.
  • Replies written in Outlook, Apple Mail or Thunderbird quote in their own styles: a “From: … Sent: … To: … Subject:” block, an “On … wrote:” line, or lines starting with “>”, and those quotes end up in the printout too.
  • Signatures and legal footers come again in every message.
  • The printout has no table of contents, so finding the message from 12 March means scrolling.
  • Cutting the quotes out by hand means editing a PDF or copying every message into a document, and it is easy to delete something that was new.

Option: ThreadClean

ThreadClean is a Chrome extension for Gmail made by Atesen Software. It reads the conversation that is open in Gmail, removes the quoted history and the repeated signatures, shows you what it removed, and saves one PDF with each message once, oldest first.

  • Every message. It reads each message's original from your own Gmail tab, also the ones Gmail folds into “older messages”. Drafts are left out.
  • Quote styles from many mail programs. Gmail, Outlook, Apple Mail, Thunderbird and Yahoo quotes, “>” lines, and reply headers in English, German, French, Spanish, Turkish, Portuguese, Italian and Dutch.
  • Careful. Text is removed only when it repeats an earlier message of the same conversation. A quote of something that is not in the conversation stays, and forwarded messages stay.
  • A preview. Before highlights every removed passage with its word count; After shows the result. One switch puts the quoted text back into the PDF, in grey.
  • A PDF you can find your way in. A cover line with the subject, message count, dates and people, a table of contents with page numbers, then From, To, Cc, date and attachment names for each message.
  • Nothing leaves your browser. No Google sign-in and no Gmail API. Atesen Software never receives your email.

How to use it

  1. Open the conversation in Gmail. If Gmail was already open when the extension was added, reload the tab once.
  2. Press Export clean PDF at the bottom right of Gmail. A preview tab opens and reads the messages; keep Gmail open until it is done.
  3. Look at Before to check what was removed, then press Download PDF.

Good to know. The PDF holds the text of each message, not the original layout or pictures of newsletters. Latin, Greek and Cyrillic scripts print; Chinese, Japanese, Korean and emoji characters do not yet. ThreadClean is waiting for its Chrome Web Store listing, so it cannot be installed from the Chrome Web Store today; this page will say when that changes.

Planned pricing for the store release. 3 exports are free, with every feature. A lifetime license is $29 once, not a subscription, sold on the extension's own site with checkout by Paddle, with a 14-day refund.

Which route fits

  • One message: print that message from its More menu.
  • A short conversation where the repeats do not matter: Print all, then Save as PDF.
  • A long conversation that must be readable, or one with Outlook and Apple Mail replies: a tool that removes the repeated quotes, such as ThreadClean, and a look at what it removed before you send the file on.
  • The originals for a mail program or an archive: Download message on each message.
