How to copy a QuickBooks Online report into Excel with real numbers

You want a Profit and Loss or a Balance Sheet in a spreadsheet where the amounts add up, not a column of text that looks like numbers. This guide covers what Intuit documents for getting a report into Excel, how to repair amounts that arrive as text, where each route stops, and an extension that copies a report as a table.

The short answer

Intuit's article Export reports to Excel, which shows an update date of 8/4/2026, documents one route: an export. It does not mention copying and pasting, and it does not describe what the exported file looks like, so open the file and check it before you rely on it.

Route 1: export to Excel

  1. Open the Reports menu and choose Standard reports, then search for the report and select it.
  2. Select the Export/Print dropdown, then Export to Excel.
  3. Save the file somewhere you can find it, such as your Downloads folder or desktop.
  4. If data is missing when you open it, the file is in Protected View. Select Enable Editing to see the full report.

Set your filters, dates and accounting method on the report before you export, because the file is a snapshot of what was on screen.

Route 2: fix amounts that arrive as text

Whatever route you take, a spreadsheet can end up holding amounts as text. Microsoft's article Convert numbers stored as text to numbers in Excel says such numbers can cause unexpected results, and that Excel usually flags them with a green triangle warning next to the cell. To convert them, select the cells, select the error indicator and choose Convert to Number. The same article describes the VALUE function: enter it in a new column, fill it down, and optionally paste the results back as values.

Look for that green triangle on the amount column before you build formulas on the sheet.

Where these stop

  • Each new date range or filter means another export and another round of checks.
  • The file is not QuickBooks Online, so you lose the live report and its drill-downs. See the guide on narrow reports for the on-screen side.
  • Intuit's article does not say how the export treats indents, bold totals or the grouping of rows. If your sheet needs them, check a sample report first.

Option: Report Fixer Pro

Report Fixer is a browser extension for Chrome, Edge and other Chromium-based browsers that changes how QuickBooks Online reports are shown. Its Pro plan adds copying and exporting:

  • Copy for Excel. Alt+Shift+C puts the whole report on the clipboard as a table that Excel and Google Sheets paste with real numbers, indents and bold totals. Long reports that load rows as they scroll are read to the end.
  • CSV and Excel workbook. It can save the report as CSV, which is safe from formula injection, or as an .xlsx workbook with amounts as numbers in the report's formats, bold totals, frozen headings and account names, and rows grouped by the report's sections.

Good to know. It changes no data in QuickBooks Online. Reports are read in your browser and never sent to Atesen Software; only a license key you enter is checked with the license server. It works with QuickBooks Online in the browser, not the QuickBooks desktop products, and finds the report from the page as it is drawn, so a change to QuickBooks Online can break a feature until the extension is updated. The copy and export features are Pro features.

Disclosure. Atesen Software, which publishes this guide, makes Report Fixer. The export route above works without it.

Price. The free plan applies every layout fix to 3 different reports a day, and opening the same report again the same day is not counted. It needs no account and no key. Pro is $9 a month or $79 a year per person, with checkout by Paddle on the Report Fixer site. It fixes every report with no daily limit and adds copy for Excel, CSV and the Excel workbook. Report Fixer is listed in the Chrome Web Store.

Which route fits

  • A one-off file for someone else: export to Excel, then check the amounts.
  • Amounts that will not add up: convert them with Microsoft's steps.
  • Pulling the same reports into a spreadsheet again and again: an extension such as Report Fixer.
