How to download all attachments from HubSpot tickets

Over a year your help desk collects invoices, screenshots, signed forms and photos that customers sent with their tickets. Now an auditor, a lawyer, a customer or your move to another system needs all of them, and needs to know which ticket each one came with. This guide covers how HubSpot lets you download attachments, where that stops for many tickets, and an app that saves every ticket's files in a folder of its own.

The short answer

HubSpot's Attachments card lets you select several files on one record and download them. The files tool can export selected files and folders as a ZIP. Neither article describes downloading the attachments of many tickets at once, sorted by ticket, so for a pipeline or a year of tickets you either repeat the steps for every ticket or use a tool that goes through them.

Option 1: the Attachments card on a record

HubSpot's article Add and manage attachments on records and activities describes these steps:

  1. Open the record and, in the right sidebar, scroll to the Attachments card.
  2. Click Show more for more files, or View all attachments for the full list.
  3. Search by name or file type, or filter by File type and Source, for example files added with a call.
  4. Select the checkboxes next to the files and choose Download.

Who sees which file depends on permissions: files added on the record or on a note need Notes view permissions, and files on other activities, such as one-to-one emails and calls, are visible to users who can see the record. Non-inline files attached to one-to-one emails sent from HubSpot are added to the card; inline ones are not. The article's examples are contacts and projects, and it does not mention help desk conversations, so open one ticket first and check which of its files the card lists.

Option 2: export from the files tool

A Super Admin can export files as a ZIP (Organize your files with folders):

  1. Go to Content > Files. If More appears in your navigation, open it first.
  2. Select the checkboxes next to the files and folders you want. You can move between pages while selecting.
  3. Click Export (ZIP), choose who receives the download link, and click Export. The link arrives by email and in the notification center.

Where these stop

  • The Attachments card works one record at a time. Three hundred tickets means three hundred visits.
  • The files tool picks files by checkbox and folder. The article does not describe choosing them by ticket, pipeline or date.
  • Neither article describes a folder per ticket or a list that says which file came with which ticket.
  • A file on its own often misses the point: what the customer wrote with it, and what your team answered.

Option 3: Ticket Archive for HubSpot

Ticket Archive for HubSpot is a web application for support managers who have to hand over or keep the full history of many tickets at once, files included. It only reads from HubSpot and never changes anything there.

Status. Ticket Archive for HubSpot is live at ticket-archive.atesensoftware.com. You connect a HubSpot portal through HubSpot sign-in and approve read-only access to tickets, conversations, owners, contacts and files. It is not listed on the HubSpot App Marketplace and has not been certified by HubSpot.

  • Choose the tickets. By created or closed date, pipeline, statuses and owners. You see how many match and a sample before anything starts, and previews are free.
  • A folder per ticket. The files from each ticket's conversation are saved into the ZIP next to that ticket's PDF, and the PDF lists every attachment with its place in the ZIP.
  • The conversation with the files. Each PDF holds the ticket's properties and description, then the whole timeline in time order: emails and chats, internal comments, notes, calls and, optionally, logged emails.
  • A list you can check. Each ZIP part of about 500 MB carries an index.csv with one row per ticket, including its message and attachment counts, a manifest.csv with a SHA-256 checksum for every file, and a README. A ticket never spans two parts, so its files stay together.

Limits. Attachments are included up to 10 MB each on the free plan and 25 MB each on a paid plan, so download larger files from HubSpot itself. It is not a backup service: archives are deleted automatically 7 days after they finish, so download your copy. The PDF font covers Latin, Greek and Cyrillic, and other characters are printed as "?". It holds no security certification and has not had a third-party audit.

Prices, in US dollars per HubSpot portal: Free, with up to 25 tickets per archive; $24 a month or $240 a year, with up to 10,000 tickets per archive. Payments are handled by Paddle, the merchant of record.

Which route fits

  • The files of one ticket: View all attachments on that ticket, select them and download.
  • Files you can find by name or folder: Export (ZIP) in the files tool, as a Super Admin.
  • Every attachment from a set of tickets, filed by ticket next to its conversation, with an index and checksums: an archive tool such as Ticket Archive for HubSpot.
  • Files over 25 MB: download them from the ticket in HubSpot.

For the conversations themselves, see How to export HubSpot tickets to PDF, with the full conversation.
