QuickBooks Online reports: where are Expand All and Collapse All?
You open a Profit and Loss and every sub-account is folded away, or every one is open and the page is a mile long. This guide covers where the controls are, what Intuit says about them, what its documents do not say, and a Chrome extension that remembers the rows you set.
The short answer
In a Modern View report, the control is in the upper-left area of the report, in the Compact 100% dropdown, which offers Expand All and Collapse All. That is the answer an Intuit staff member gave in a July 2026 QuickBooks Community thread from a user who had moved over from QuickBooks Desktop. The same reply says Modern View reports can behave differently from Desktop, and that the Expand All and Collapse All feature for sub-accounts in financial reports is still being improved.
One section at a time
The arrow at the left of an account name folds one section. Intuit's article Customize reports in QuickBooks Online (shown as updated 9/15/2026) says to select the arrows to the left of the account names to collapse the sub-accounts, and to select the arrow again to view the details once more. Use this when you only need one parent open.
What the documents do not say
We read the Intuit article and the community reply above and found no statement that a report keeps its folded or open state when you close it and open it again, or when you change the date range. If your reports reopen in a state you did not choose, treat that as how they currently behave and plan for it. The article does say how to save other choices: filter by accounts or customers, choose which rows and columns show, change the accounting method or number format, then select Save customization or Save as, and the report appears in your Custom reports. It does not say that the folded state is saved along with them.
Ways to live with it
- Set it each time. Open the report, pick Expand All or Collapse All, then open or fold the few sections you need. Quick, but repeated for every report and every date change.
- Show fewer rows. In Customize, filter the accounts or customers so that fewer rows need folding at all. This changes what the report contains.
- Export and group in a spreadsheet. Intuit's article Export reports to Excel does not describe whether the file keeps the report's grouping, so check a sample before you rely on it. The file is a snapshot, so you give up the live report.
Option: Report Fixer Pro
Report Fixer is a browser extension for Chrome, Edge and other Chromium-based browsers that changes how QuickBooks Online reports are shown. In its Pro plan:
- It remembers expanded rows. Each report reopens with the rows you collapsed or expanded.
- The workbook keeps the grouping. The Excel workbook (.xlsx) download groups rows by the report's sections, so they collapse and expand with Excel's own + and - buttons, and it freezes the headings and account names.
- Drill-downs in a new tab. Ctrl+click (Cmd+click on a Mac) or middle-click an amount: the same report opens in a new tab with that amount opened, but only if the new tab shows the same figures, and the current tab stays on the report.
The free plan gives the layout fixes (full width, sticky headings and first column, full text and row height), but remembering rows is part of Pro. For headings that stay in view, see how to freeze the headings and first column.
Good to know. It changes no data in QuickBooks Online. Reports are read in your browser and never sent to Atesen Software; only a license key you enter is checked with the license server. It works with QuickBooks Online in the browser, not the QuickBooks desktop products, and a change to QuickBooks Online can break a feature until the extension is updated.
Disclosure. Atesen Software, which publishes this guide, makes Report Fixer. The steps above work without it. For its everyday effect on narrow reports, see the guide on narrow reports.
Price. The free plan applies every layout fix to 3 different reports a day, and opening the same report again the same day is not counted. It needs no account and no key. Pro is $9 a month or $79 a year per person, with checkout by Paddle on the Report Fixer site. It fixes every report with no daily limit and adds copy for Excel, CSV and the Excel workbook. Report Fixer is listed in the Chrome Web Store.
Which route fits
- A glance at one parent account: the arrow beside it.
- A whole report folded or open: Expand All or Collapse All.
- Reports you reopen every day and want left as you set them: an extension such as Report Fixer.
