How to freeze the headings and first column in a QuickBooks Online report

You scroll down a long Profit and Loss and the column headings vanish. You scroll right through twelve months and the account names vanish. In Excel you would freeze panes. This guide covers what QuickBooks Online and Excel give you for that, where each stops, and a Chrome extension that keeps the headings and names in view on the report itself.

The short answer

Intuit's articles on customizing reports and exporting them to Excel do not mention freezing. In a March 2025 QuickBooks Community thread, a user asked how to freeze the first column of a monthly budget report. A reply said a column cannot be frozen on a budget report in QuickBooks Online and suggested exporting to Excel and freezing panes in the file. The usual routes are an export, or showing less so there is less to scroll.

Route 1: export, then freeze in Excel or Google Sheets

  1. Open the Reports menu and choose Standard reports, then search for the report and open it.
  2. Select the Export/Print dropdown and choose Export to Excel. If data seems missing when the file opens, select Enable Editing, because Excel is in Protected View.
  3. In Excel, select the cell just below your heading row and just right of the account names. Microsoft's article Freeze panes to lock rows and columns says Freeze Panes keeps the rows above and the columns left of the selected cell in view. Choose View > Freeze Panes > Freeze Panes.
  4. In Google Sheets, open View > Freeze and choose how many rows and columns to lock (Freeze, group, hide, or merge rows & columns).

The exported sheet may have title lines above the headings, so look at where they sit before you pick the cell.

Route 2: show less, scroll less

Intuit's customizing article says you can filter by accounts or customers, choose which rows and columns show, and save the result as a custom report. A report with fewer columns scrolls sideways less, and fewer rows scrolls down less. This changes what the report contains, not whether the headings stay in view.

Where these stop

  • An export is a snapshot. Change a filter or a date and you export and freeze again.
  • The file is not QuickBooks Online, so you lose the live report, including drilling into transactions.
  • Customize removes figures from view instead of keeping headings in view.

Option: Report Fixer

Report Fixer is a browser extension for Chrome, Edge and other Chromium-based browsers. It changes how QuickBooks Online reports are shown. Column headings stay in view while the report scrolls, and account names stay in view when a wide report scrolls sideways. The report also uses the full width of the window (see the guide on narrow reports), long names wrap, and Alt+Shift+F switches on focus mode.

  • The live report. It stays in QuickBooks Online, so changing a filter or a date needs no new file.
  • Pro adds the file. Alt+Shift+C copies the whole report for Excel or Google Sheets with real numbers, and Pro also downloads an Excel workbook (.xlsx) with frozen headings and account names.

Good to know. It changes no data in QuickBooks Online. Reports are read in your browser and never sent to Atesen Software; only a license key you enter is checked with the license server. It works with QuickBooks Online in the browser, not the QuickBooks desktop products, and needs Chrome 137 or newer, or a Chromium-based browser of the same version. It finds the report from the page as it is drawn, so a change to QuickBooks Online can break a feature until the extension is updated.

Disclosure. Atesen Software, which publishes this guide, makes Report Fixer. The routes above work without it.

Price. The free plan applies every layout fix to 3 different reports a day, and opening the same report again the same day is not counted. It needs no account and no key. Pro is $9 a month or $79 a year per person, with checkout by Paddle on the Report Fixer site. It fixes every report with no daily limit and adds copy for Excel, CSV and the Excel workbook. Report Fixer is listed in the Chrome Web Store.

Which route fits

  • A workbook to keep or send: export and freeze in Excel.
  • Fewer figures on screen: Customize.
  • Reading live reports all day with headings and names in view: an extension such as Report Fixer.
