How to download all resumes from Workable at once

A role has closed, a hiring manager wants the resumes without a Workable seat, or you need your own copy of everything that came in. You have dozens or hundreds of applicants and you want the files, not a spreadsheet. This guide covers what Workable offers itself, where each route stops, and a browser extension for the job-wide download.

The short answer

Workable's help centre says plainly that it does not support bulk downloading for resumes. It lists alternatives instead, and none of them hands you one folder of resume files for one job.

What Workable offers

  • One candidate at a time. Open the candidate's profile. The resume appears in a PDF viewer in Workable, and you can download or print it with the icons at the upper right of the viewer. Under More actions, Print profile lets you choose the profile details, resume, communication, evaluations and comments, and the print window can save a PDF (download or print a profile).
  • A spreadsheet of candidates. On the Reports page, the Candidate details report has a Download CSV button, and you pick the columns first. Workable says resumes and other files are not included in that export.
  • Sharing instead of downloading. You can invite the people involved to Workable and to the job, or share candidate profiles externally.
  • The API. Workable describes an automation, built with your developers, that downloads resumes from the URLs in API responses, and notes it can take time and resources on your side.
  • A full data export. If you are leaving Workable or migrating, you can ask for a full export of the account. It is requested by an account Admin, it cannot be limited to specific data or timeframes, and Workable says the best time to ask is when all jobs are archived.

Where these stop

  • The CSV tells you who applied, but not the files.
  • Saving resumes one by one means opening every profile, and you have to keep track yourself of which file belongs to which candidate and which stage.
  • The API route needs a developer, and the full export covers the whole account and is meant for leaving, not for closing one job.

Option: Bulk Resume Downloader for Workable

Bulk Resume Downloader for Workable is a browser extension for Chrome, Edge and other Chromium-based browsers. With your own Workable API token, it lists a job's candidates, shows the file name each resume will get, and saves them all into one ZIP with an index.csv.

  • One ZIP per job. You choose a job and the stages to include. Each resume keeps the extension Workable gives it: PDF, Word or anything else the candidate sent.
  • File names you can sort. Stage_LastName_FirstName.pdf by default, or LastName_FirstName, FirstName LastName, or a folder per stage. A preview shows each name before anything is downloaded, and clashing names get a number.
  • An index. index.csv has one row per candidate: the file, whether it was saved and why not, name, email, phone, stage, disqualified, applied date, headline, candidate ID and the Workable profile link.
  • Paced for Workable. Workable's API allows 10 requests per 10 seconds for an account token, and the extension keeps to that. A hundred candidates take about two minutes and five hundred about nine. You can pause, resume or stop, and what was saved is kept.
  • Nothing leaves your browser. Candidate data goes from your Workable account to the ZIP on your computer. Atesen Software never receives it.

How to use it

  1. An account Admin creates an API access token in Workable. Workable's article Generating and revoking access tokens has the steps. Tick the r_jobs and r_candidates scopes. Read-only is enough, and Workable shows the token only once.
  2. Click the extension's toolbar button. The export page opens in a tab.
  3. Enter your account (yourcompany for yourcompany.workable.com) and the token, then connect.
  4. Choose a job and its stages, then preview the list of names.
  5. Press Export and keep the tab open until it says Done. The ZIP then downloads by itself.

Good to know. It downloads resumes and, if you ask, cover letters. Other files attached to a candidate are not downloaded. Resumes and the index contain applicants' personal data, so once exported they are files under your organisation's own data protection obligations.

Price. The free plan saves the first 10 resumes of each export, with no account and no key. Unlimited is $19 a month or $190 a year, sold on the extension's own site with checkout by Paddle. The extension is listed in the Chrome Web Store, is new there and has no review history yet.

Which route fits

  • A handful of resumes: download them from the profiles.
  • A list of who applied: the Candidate details report.
  • Every resume for one job, named and indexed: the extension, or an API script of your own.
  • Leaving Workable: the full export.
