How to find transactions with missing receipts in QuickBooks Online
Before year end, or when an auditor or your accountant asks for the support behind last year's expenses, the first job is to find the transactions with no receipt attached. This guide covers what QuickBooks Online offers, where it stops when you need a list of the gaps, and a web app that counts and lists them.
The short answer
QuickBooks Online lets you attach receipts to transactions, collect new ones in a Receipts inbox and export the files you select. Intuit's articles below do not describe a report or a filter that lists the transactions without an attachment. Otherwise you open the transactions one by one, or let a tool count them.
What QuickBooks Online offers
- Attachments on each transaction. Intuit's article Add or delete attachments in QuickBooks lists the transactions that take attachments, from bills, checks and expenses to invoices and vendor credits, and notes that this can help your accountant at the end of the fiscal year.
- Look inside the transaction. Export your receipts shows the way to a receipt that is linked to an expense: go to All apps, then Expenses & Bills, then Overview, select the expense, and the file is under Attachments.
- The Receipts inbox. Receipts you upload at All apps > Accounting > Receipts, or snap in the mobile app, wait in the For review tab until you match them to a transaction or create one (Upload your receipts to QuickBooks). That tab shows the opposite gap: receipts that are not in your books yet.
- Receipt reminders. In the United States, a supported Mastercard can text you a link after each purchase so you can photograph the receipt. You set it up with Get receipt reminders under All apps > Expenses & Bills > Expense transactions (Get purchase notifications for credit card purchases). It helps with new card purchases, not with last year's.
In an Intuit Community thread, a user describes adding an attachment column to the expenses list from its gear icon and sorting by it, so the expenses without attachments come first, and asks how to do the same for deposits. Intuit's articles above do not describe that column, so check whether your list offers it.
Where these stop
- The articles describe no count of the transactions without an attachment for a period, a vendor or an account, and no export of that list to send to whoever has the receipts.
- Opening transactions one by one is slow when a year holds hundreds of card purchases and bills.
- The Attachments list, under Settings > Lists, shows files. A transaction that has no file never appears in it.
- Once the gaps are filled, the auditor still wants the files, named so each can be traced to its transaction.
Option: Attachment Bundler
Attachment Bundler is a web app made by Atesen Software for bookkeepers and accountants on QuickBooks Online. You sign in with Intuit, set filters and see the counts before anything is downloaded. It only reads from QuickBooks Online and never changes your books.
- The gap, counted. For each transaction type the preview shows how many transactions match, how many have attachments, how many files and megabytes that is, and how many matching transactions have no attachment.
- Narrowed to what matters. Transaction date range, transaction type (bills, expenses, invoices, sales receipts and journal entries), vendor, customer or payee name, one or more accounts, and a minimum and maximum amount.
- A list to chase. An export's CSV and Excel index lists every file with its path, its transaction and its status, and also the matching transactions that have no attachment, so the missing receipts become a list you can sort and send.
- The receipts you do have. The same export downloads the attachments, each named after its transaction, such as 2025-03-14_Acme Supplies_1250.00_B-1043.pdf, in ZIP parts with folders by type and month, by type, by vendor or customer, by month, or none.
Good to know. Intuit offers no read-only QuickBooks Online permission, so sign-in asks for its single accounting permission; the app sends read requests only. Vendor credits, bill payments, deposits, estimates and purchase orders are not included, and QuickBooks Desktop is not supported, so deposits still need the manual check. Files stream to your browser and are never stored, and export details are deleted after 72 hours. It is not listed in Intuit's app store and has not been certified by Intuit. It is not a backup service.
Price. Previews and counts are free and unlimited, and the first 25 files per company are free with the full index. Monthly is $19 a month; the Year-end Pass is $29 once for 30 days with no renewal. Both cover up to 10 companies, with checkout by Paddle on Attachment Bundler's own site.

Which route fits
- A handful of expenses: open each one and look under Attachments.
- Receipts you have but have not booked: the For review tab in Receipts.
- New card purchases in the United States: receipt reminders, so the gap stops growing.
- A year, a vendor or an account to check before close or an audit, with a list of what is missing and the files you have: a filtered count such as Attachment Bundler.
- Deposits, vendor credits and the other types Attachment Bundler does not cover: the transaction itself.
