QuickBooks Online report too narrow: how to make it readable and export it to Excel

You open a Profit and Loss by month or a General Ledger in QuickBooks Online and it sits in a narrow column. Long account names and memos are cut off with an ellipsis, and the headings scroll away as you move down. This guide covers what QuickBooks Online gives you, what a browser can do, and a Chrome extension that changes how the report is shown.

The short answer

Intuit's help articles for customizing and exporting reports describe filters, columns, layout options and an export to Excel. They do not describe a setting for how wide the report is on screen. The usual workarounds are to export, to zoom out, or to use an extension that changes the display.

What QuickBooks Online gives you

  • Customize. Go to Reports > Standard reports, search for the report and open it. Select Customize to filter by accounts or customers, change the accounting method, adjust the number format, choose which rows and columns show, and update the header or footer. You can save the result as a custom report (Customize reports).
  • Export to Excel. Open the report, select the Export/Print dropdown and choose Export to Excel. If data is missing when the file opens, Excel is in Protected View and you need to select Enable Editing (Export reports to Excel). Saved custom reports can also be exported as PDF or Excel from the Custom reports list.
  • Different views. Intuit notes that some reports look different in the classic view and in the new enhanced experience, so the labels on your screen can differ from these.

What the browser can do

Zooming out shows more columns at once. In Chrome, press Ctrl and - on Windows and Linux, or the Command key and - on a Mac (Chrome's zoom help). It shrinks everything, numbers included.

Where these stop

  • Customize changes what the report contains, not how it fits the window.
  • Export gets you a file, which is the right tool when you need a workbook but a detour when you only wanted to read a line.
  • Zoom trades width for small print.

Option: Report Fixer

Report Fixer is a browser extension for Chrome, Edge and other Chromium-based browsers. It changes how QuickBooks Online reports are shown: the report uses the full width of the window, headings and the first column stay in view, and long names wrap instead of being cut off.

  • Full width and sticky headings. Column headings stay in view while the report scrolls, and account names stay in view when a wide report scrolls sideways.
  • Full text and row height. Names and memos cut off with an ellipsis wrap onto a second line instead. Rows can be Normal, Compact or Tight.
  • Focus mode. Alt+Shift+F makes the report fill the window with a slim title bar, and Esc returns.
  • Pro: copy and export. Alt+Shift+C puts the whole report on the clipboard as a table that Excel and Google Sheets paste with real numbers, indents and bold totals. Pro also saves a CSV and downloads an Excel workbook (.xlsx) with amounts as numbers, bold totals, frozen headings and account names, and rows grouped by the report's sections.

Good to know. It changes no data in QuickBooks Online. Reports are read in your browser and never sent to Atesen Software; only a license key you enter is checked with the license server. It works with QuickBooks Online in the browser, not with the QuickBooks desktop products. It finds the report from the page as it is drawn, so a change to QuickBooks Online can break a feature until the extension is updated. It needs Chrome 137 or newer, or a Chromium-based browser of the same version.

Price. The free plan applies every layout fix to 3 different reports a day, and opening the same report again the same day is not counted. It needs no account, no key and makes no network requests. Pro is $9 a month or $79 a year per person, with checkout by Paddle on the Report Fixer site. It fixes every report with no daily limit and adds copy for Excel, CSV and the Excel workbook. Report Fixer is listed in the Chrome Web Store.

Which route fits

  • A different set of rows or columns: Customize.
  • A workbook to send or keep: Export to Excel.
  • Reading reports on screen all day, with the numbers at normal size: an extension such as Report Fixer.
